At VIP Events Rental, we value your trust and want your event to be a complete success. We understand that plans can change, and unexpected issues may arise. That’s why we offer a fair, straightforward 30-day refund or replacement policy that puts your satisfaction first.
This page outlines how we handle cancellations, refunds, event rescheduling, and replacement requests.
Our Satisfaction Guarantee
Every rental from VIP Events Rental is backed by our 100% Satisfaction Guarantee. If something goes wrong with your equipment through no fault of your own, we will either:
- Provide a replacement item (when available), or
- Issue a credit or full refund to be used within 30 days of your original event date.
Cancellations & Refunds
Cancellations More Than 72 Hours in Advance
If you cancel your confirmed rental 72 hours or more before your scheduled delivery:
- You will receive a full refund of any payments made, excluding your non-refundable deposit.
- If desired, we can issue a credit for the full amount (including deposit) toward a future rental.
Cancellations Within 72 Hours
If you cancel less than 72 hours before your event:
- All payments made will be non-refundable, including deposits.
- We may offer a partial credit for future use based on the reason and equipment type.
No-Show or No-Access on Delivery
If our crew arrives for delivery but is unable to complete setup due to locked gates, inaccessible areas, or no one being present:
- The order will be marked as delivered and no refund will be issued.
- Please ensure you or an authorized representative is present during setup.
Weather Policy
We understand weather is unpredictable. Here’s how we handle it:
- Before Delivery: If severe weather is forecast (heavy rain, high winds, or storm warnings), we will contact you to offer a reschedule or a 100% credit for future use.
- After Delivery: Once equipment is set up, no refunds can be issued due to weather. This includes rainouts or wind-related safety shutdowns.
- Optional Insurance: Ask us about weather coverage or flexible rental policies during booking.
Equipment Malfunctions or Issues
If your rental arrives and is non-functional, incomplete, or becomes unusable due to a manufacturing or setup fault:
- We will send a replacement unit as soon as possible (if available in your area), or
- Issue a full credit or refund for the affected item(s).
We ask that you notify us immediately if something isn’t working properly so we can resolve it quickly.
Damaged or Misused Equipment
If equipment is damaged due to:
- Misuse or unsafe operation
- Negligence or lack of supervision
- Vandalism or intentional abuse
…you may be held financially responsible for the repair or full replacement value of the item.
We provide safety instructions and supervision guidelines upon delivery. If you’re unsure how to use something, please ask.
Deposit Policy
- A non-refundable deposit is required after confirmation to secure your rental equipment and delivery window.
- Deposits will be applied toward your final total.
- If you cancel, the deposit can be converted into a credit for future rentals if you notify us more than 72 hours in advance.
Rescheduling Your Event
Need to change your event date? No problem.
- You can reschedule your rental once at no additional cost, as long as you notify us at least 48 hours in advance and the equipment is available for the new date.
- Rescheduling within 48 hours may incur a relocation or rescheduling fee, depending on distance and delivery logistics.
